Work schedule types

Employees belonging to various departments usually work according to different time schedules. There are three types of work schedules in Bitrix24:

Create work schedules for your company employees to manage their work time efficiently.

Fixed schedule

A fixed schedule allows you to closely control the employees' working time control and monitor schedule violations. It is also beneficial if the wage in your company is determined by the actual hours worked by each employee.

To configure this type of schedule, apply the following settings:

  1. Select Fixed as schedule type.

  2. Specify the schedule title or keep the default one.

  3. Choose the reporting period. Schedule violations will be tracked within the selected reporting period.

  4. Select the employees or departments who will work according to this schedule. If you need to assign the schedule to a department but exclude a specific employee, you can add them to the exceptions list.

  5. In the Work hours section, specify working days, work hours, and a break duration. The total duration will be displayed automatically. In our example, the company operates from 9:00 am to 6:00 pm on weekdays, with a one-hour break allocated to employees.

  6. Select holidays and weekends. Click the gear button to choose a country whose holidays should be considered as non-working days in the schedule. Here you can specify other additional days off.

Also, you can edit settings in the Working time control section. Read more about it in the article - Working time control and restrictions.

Flexible schedule

An employee having a flexible schedule can clock-in and clock-out at any time. The duration of a working day can be more than 24 hours.

To configure this type of schedule, apply the following settings:

  1. Select Flexible as schedule type.

  2. Specify the schedule title or keep the default one.

  3. Choose the reporting period.

The reporting period is a required option, even for a flexible schedule. For example, if you have hourly employees, you can view how many hours each employee worked at the end of the reporting period.
  4. Select employees who will work according to this schedule. If you want some employees to have another schedule, add them to the exceptions list.

  5. In the Allow clock-in and clock-out section, you can restrict employees to clock-in/out in a web browser or via mobile devices. Select from which devices employees can manage their work time.

Shifts schedule

A shifts schedule is a method for scheduling employees in rotations. You can define the timed blocks for each employee in which they must start and end the working day.

To configure this type of schedule, apply the following settings:

  1. Select Shifts as schedule type.

  2. Specify the schedule title or keep the default one.

  3. Choose the reporting period.

  4. Select the employees or departments who will work in shifts. If you need to assign the schedule to a department but exclude a specific employee, you can add them to the exceptions list.

  5. In the Work hours section, click Add shift and specify work hours and a break duration. The total duration will be displayed automatically.

Two different shifts must not overlap in time. If shifts in the shift schedule overlap in time, the old shift ends when the new shift begins.
  6. If the employees are allowed to start their shift earlier, you can specify the time limit for that under Maximum early shift start.

  7. Save the schedule and assign shifts to employees in the Plan shifts section.

What do shift colors mean?

  • If a shift is colored green in the schedule, it's a future shift.

  • If it's red, it means that an employee has missed the shift.

  • If it's yellow, that means an employee has clocked-in earlier than his/her shift starts according to the schedule. In this case, the supervisor needs to click on it to approve it. Otherwise, this work time won't be counted.
