Lesson 3. Working with Flows

3 out of 5

Which groups of users can benefit from using Flows?
Now that we've created and launched a flow, let's see how exactly your team can benefit from using this tool. We've singled out 4 groups of users and their benefits:

  1. All employees (benefit: easier to create tasks)
    There's no need for a regular employee of your company to ask unnecessary questions trying to understand how to deal with a standard request or task. All they have to do now is open the list of flows, pick the one they need, and just set a task using the template.
    Not only that, but the employee can also see how long it will take for their task to be completed.

    No need to worry about the assignee and deadline — when you add a task to a Bitrix24 flow, these fields will be automatically completed by the system.
  2. Task assignees (benefit: easier to manage incoming tasks)
    After a task has been added to a flow, it gets automatically assigned to the next available employee or to the manager, who will, in turn, assign it manually to the person who will handle it best at the moment.
    Another tool that's coming up soon is the ability for the assignees to pick pending tasks as soon as they complete their outstanding tasks.
    If it's a template-based task, it's good to go “as is”, since all the necessary information is already there:

    Based on the team preferences, you can view tasks in the form of a simple list or use our Kanban board with custom stages. For the legal department, these could be: Unsorted, In Progress, Pending review, Complete.
    As you may know, Tasks in Bitrix24 are more than just deadlines and assignees. You can also invite other members of your team as participants and observers to discuss task-related issues in the comments, chat, or video call. When a task is complete, you can provide a task status summary, which makes it easier for the person who created the task to evaluate the results.

    And let's not forget about our automation rules and triggers, some of which are already pre-configured for your convenience (e.g., when you start a task, it automatically moves to the next stage in the Kanban board).
  3. Heads of departments/workgroups (benefit: quick analysis)
    Being the administrator or owner of a flow in Bitrix24 gives you access to a wealth of information: workload, number of active tasks (overall and per employee), number of tasks in queue, flow efficiency, and so on.
  4. General managers (benefit: transparency and data-driven decision-making)
    Flows in Bitrix24 provide managers with a quick and easy way of evaluating the efficiency of departments, identify bottlenecks, and get insights on potential ways of increasing that efficiency.

    To sum up the benefits:
    – Easier to create tasks;
    – Easier to manage tasks;
    – Easier to track efficiency and workload;
    – Easier to make data-driven decisions.
