Distribute tasks in the Flow

Use Flows to manage tasks for specific teams and processes. When a supervisor creates a Flow, they choose how tasks are assigned: automatically (queue), manually, via self-assignment, or with automation rules. For manual distribution, assign each task to a specific employee.

Open a task in a Flow

  1. Go to Tasks and Projects > Flows.
  2. Select a Flow and open a task in My tasks.

By default, the user who creates tasks becomes the assignee. You can change this.

Change the assignee in one task

  1. Open the task.
  2. In the Assignee field, click the current user.
  3. Remove them and select a new assignee.

Change the assignee in multiple tasks

  1. Open Flow tasks and switch to List view.
  2. Select the tasks.
  3. Click Select action.
  4. Choose Change assignee.
  5. Select a new assignee.
  6. Click Apply.

In brief:

  • Use Flows to group tasks by team or workflow.
  • Employees assign tasks to a Flow, not directly to each other.
  • Find tasks in My tasks or in the full task list.
  • By default, tasks are assigned to the Flow creator.
  • You can update the assignee from the task form or in bulk from the task list.
