Configure access permissions for the transfer document

Use this document to track product transfers between warehouses. It shows which products moved, in what quantity, and to which warehouse. Access permissions control who can view, create, process, or delete these documents.

In this article:

Go to CRM > Settings > Inventory Access permissions.

You can configure five types of permissions:

  • View — Allows users to view documents only. They cannot edit, process, or delete them. Use this for monitoring product movement.
  • Create and edit — Allows users to create new documents and edit drafts. Use this when employees prepare transfers based on a manager’s request or after an inventory check.
  • Process document — Allows users to complete transfers. The system deducts products from the source warehouse and adds them to the destination warehouse. Assign this to employees responsible for transfers and inventory.
  • Cancel processing — Allows users to cancel a processed document and restore stock levels to their previous state. Assign this to employees who fix accounting errors.
  • Delete document — Allows users to delete drafts and canceled documents. Assign this to employees who manage document cleanup.

Scenario: A manager processes product transfers

For example, a store manager handles transfers. They specify which products to move, set quantities, choose source and destination warehouses, and process the document.

To set up this workflow:

  1. Create a role, for example, Online Store Manager, and add employees to it.
  2. Enable these permissions: View product catalog, View Inventory management area, and View and select warehouses. Grant access only to the required warehouses. For transfer documents, enable View, Create and edit, and Process inventory objects. Leave other permissions disabled.

After setup, the employee can process product transfers between warehouses.

Permissions apply only to warehouses the employee can access. If a document includes multiple warehouses and the employee has access to only one, they will see the document and product list. However, warehouse details and product quantities for restricted warehouses remain hidden.
