FAQ: Workgroups and Projects

Our company handles various projects. How can I link all tasks, messages, and files to a specific project so I can select the project and access all related information?

To start working on a project in Bitrix24, create a workgroup and invite only the employees involved in the project. Assign tasks and upload necessary files. Workgroups store all data, tasks, files, and messages in one place, allowing you to track task completion within the workgroup.

If you need to specify exact project dates, select the Project type of workgroup.

What is the difference between a workgroup and a project?

A project is a special type of workgroup. The main difference is the connection between project dates and task deadlines. Project task deadlines cannot be set or changed outside of project dates.

Who can create workgroups or projects?

Any employee can create a new workgroup or project. The number of workgroups (projects) is unlimited for all Bitrix24 plans.

How can I view the list of all workgroups and projects created in my Bitrix24 account?

Only administrators can view all workgroups and projects created in your Bitrix24 account. To do that, enable Admin mode.

Can I archive a workgroup (project)?

To archive a workgroup,

  1. Click About workgroup.
  2. Open the Actions menu and select Edit Workgroup.
  3. Click Extended parameters and tick .

How can I delete a workgroup?

When deleting a workgroup, you permanently remove it from your Bitrix24 and can't restore it later.

To delete a workgroup,

  1. Click About workgroup.
  2. Open the Actions menu and select Delete Workgroup.
  3. Confirm your decision.

Can I delete a workgroup if I'm not the owner?

Only administrators can delete a workgroup if they are not the owner. Enable Admin mode in your profile.

Then go back to the workgroup and click Actions > Delete Workgroup.

You can also change the owner of the workgroup by clicking Actions > Edit Workgroup.

How can I delete a workgroup member?

Click the About workgroup button > Members.

Select the workgroup member, open the menu next to them (☰), and click Remove.

Can I forbid workgroup (project) members to see each other?

Members of the same group always see each other. Use the Extranet feature to limit user visibility outside a workgroup. Extranet users will only have access to the workgroup they are invited to and will see only those employees who are members of that workgroup.

Extranet users are available on all plans. They are included in the total number of users allowed on your plan.

If you have several extranet workgroups, members of one workgroup won't see the members of the other.

How can I invite an Extranet user to a workgroup (project)?

Invite Extranet users when creating a new workgroup or project, or invite them to an existing workgroup by opening it and clicking About workgroup > Members > Invite.
