You can move employees from Intranet to Extranet.
-
For example, your employee quits the job but remains involved in some company projects. The easiest way to organize such work is to move this employee to Extranet.
How to move employees to Extranet
-
To transfer an employee to Extranet, you should dismiss them first.
Open the user's profile and select Dismiss in the actions menu. -
After that, invite this employee as an external user using another email address (not the one that was used for the original Bitrix24 profile).
-
After authorizing with the other email address, the former employee becomes an extranet user with limited access to your account.
-
Note that you can invite extranet users only to the extranet workgroup (project).
-
You can invite extranet users on any Bitrix24 plan. They are included in the limited number of users according to your Bitrix24 plan.
How to keep the user's old email address in Extranet
You cannot invite a dismissed employee to Extranet using the same email address, since it is already registered in Bitrix24. However, there is a way to keep the old email as a login. See the steps below on how to do that:
-
Ask the dismissed employee to log into their Bitrix24.Network profile and change the email address there. It doesn't matter if it's done before dismissing the employee or after.
-
Find the dismissed employee profile and make sure the contact email is also changed.
-
Send an invitation to the old email address.
For example, the employee Tom Williams used t****1@gmail.com
as a Bitrix24 login. Then he's been dismissed, but now needs to use the same email address as a login to Extranet.
First of all, he logs into his Bitrix24.Network profile and clicks Change next to the Email field. Then he enters his second email address - t****2@gmail.com
instead of the current one - t****1@gmail.com
.
Bitrix24 administrators can ensure that the contact email is also updated in the user's profile. Under Company > Employees > Dismissed, the administrator can check on that and edit the contact email if necessary.
After that, an administrator sends an invitation to Extranet using the employee's old email address (t****1@gmail.com
).
How to bring back the user's old email address in Extranet
There might be that you've already invited the dismissed employee to Extranet using another email address. If you want the employee to use their old email address to log in to Extranet, ask them to do the following:
-
Log into the Bitrix24.Network profile with the old email address and change it there. Note that one more temporary email address is needed in this case.
-
Log into the Bitrix24.Network profile connected to Extranet and change their email address to the old one.
For example, the employee Tom Williams used t****1@gmail.com
as a Bitrix24 login. Then he's dismissed and invited to Extranet with another email address - t****2@gmail.com
. To change it, one more temporary email address is needed (for example, t****3@gmail.com
).
The employee logs into his Bitrix24.Network profile and clicks Change next to the Email field. Then he enters a temporary email address - t****3@gmail.com
instead of the current one - t****1@gmail.com
.
Then the external user needs to change the email address in Bitrix24.Network profile used for Extranet (t****2@gmail.com
to t****1@gmail.com
).
In brief
-
Transfer dismissed employees to Extranet and continue to work with them on some projects. As external users, they won't have access to any confidential data.
-
You can keep the dismissed employee's email if they change the email address in their Bitrix24 Network profile.
-
If an employee has been transferred to Extranet and you want to return their old email, this can be done using a new temporary email address.
