In BI Builder, you can create analytical dashboards based on your account data. But not everyone needs to access this information. Assign responsibilities among employees by setting up access permissions.
Define roles and permissions
Consider the tasks performed by your employees and the access they need. To illustrate, we set up access permissions for three particular employees and an entire sales department:
-
Administrator: Manages access and settings in BI Builder. Doesn't need to see all dashboards.
-
Analyst: Works with data, creates, and edits dashboards. Needs full access to dashboards.
-
Supervisor: Reviews dashboards and monitors performance. Needs to see all dashboards without permission to edit them.
-
Sales team: Sells products and tracks sales. Needs access to some dashboards without permission to edit them.
Set up roles and permissions
Go to BI Builder > Settings > Access permissions.
Permissions for Administrator and Analyst are set up by default; just add employees to these roles. The administrator will assign permissions and set up BI Builder. The analyst will see all the dashboards as well as create and edit new ones.
Select standard roles to set access permissions for BI Builder
Then, create custom roles for the Supervisor and Sales team. Click Create role, give it a name, and add an employee or department.
Assign permissions to new roles:
-
For the supervisor, allow access to BI Builder pages, create and edit tags, and view all dashboards. This way, they will see all the dashboards and add tags to them so that employees can find the needed dashboards faster.
-
For the sales team, allow access to BI Builder pages and select specific dashboards they need for work.
Once everything is set up, save the changes.
Check the settings
After setting permissions, ask your employees to check if they see only the information they need.
In brief
-
Assign roles and set permissions to control access to BI Builder.
-
Set permissions for individual employees or whole departments.
-
Ensure employees see only the information they need.
