A collab is designed with your needs in mind, offering a seamless way to collaborate with clients and external teams. It brings together essential tools for communication, task management, file sharing, and event organization in one cohesive platform. This thoughtful integration ensures that transitions from discussions to actions are smooth and efficient, helping you maintain focus and clarity in your work.
Employees or collab creators should check the section on handling tasks in a collab.
Guests invited to a collab should look at the section on managing tasks as a guest.
How employees handle tasks in a collab
1. Go to the Messenger section.
2. Click on Collabs.
3-4. Select the desired collab and click on Tasks.
Create a task
Use one of these methods
In the collab tasks. Open the task list and click Create.
In the chat. Go to the collab chat, click the paperclip, and select Task.
From the message. Select a message in the collab chat and click the three dots (...) > Create > Task. The message text and author appear in the task description.
In the general task list. Go to the Tasks and Projects section and click Create. Specify the desired collab in the Collab field, and the task attaches automatically.
Enter the task name and description, and set additional details: deadline, checklist, tags, and more. The task assignee defaults to the employee who created the task, but this can be changed. External guests in the collab are highlighted in green for easy identification.
Once created, the task appears in the collab's general task list. All tasks created by guests link only to collabs.
Create a task
Set access permissions
Define who can view, edit, and delete collab tasks. For instance, all members might create tasks, but only Bitrix24 employees edit them. Only the collab owner sets access permissions.
1. Go to the collab and open the Sidebar.
2-3. Click the three dots (...) > Edit.
4. Open Access permissions.
In the Collab Tasks section, set access permissions for four roles:
- Only the owner.
- Owner and moderators.
- All members — all users in the collab.
- Only employees — all internal collab employees, excluding guests.
Determine who can view, edit, and delete tasks, and click Save. Then click Save Changes in the collab's general settings.
Track task progress
Monitor how collab members handle tasks and choose the task management mode: List, Kanban, Deadlines, My Plan, or Calendar. For example, Kanban consists of stages created for task management.
By default, Kanban includes three columns: New, In Progress, and Done. All tasks created in the collab appear in the first column, New. Rename stages, create new ones, and move tasks between them. All collab members see the Kanban stage names.

How guests manage tasks in a collab
Create a task using one of these methods:
From the general task list. Click Tasks > Create. The collab you are invited to appears automatically in the Collab field. If multiple collabs exist, the last one worked with displays.
In the collab chat. Open the Messenger section. Click on Collabs and select the desired one. In the collab chat, click the paperclip and select Task.
From a message. Select a message in the collab chat and click the three dots (...) > Create > Task. The message text and author appear in the task description.
In the collab tasks. Go to the collab and click Tasks > Create.
Specify the task name and description, and add additional details: deadline, checklist, and more. Change the assignee, add participants, and observers. Click Set Task, and it appears in the general list.
Track task activity
The red counter in the Tasks section of the left menu and in the collab shows task activity: new comments, status changes, and other events.
