Work in a collab calendar

Collabs are a space for collaboration with external teams and clients. The calendar in collabs helps schedule meetings. All events will automatically appear in the collab calendar for each participant.

1. Go to the Messenger section.
2. Click on Collabs and select the desired one from the list.
3. Open the Calendar.


Create an event

There are four ways:

In the collaboration calendar. Go to the calendar and click the Create button.

In the collaboration chat. Go to the collaboration chat, click on the paperclip and select Event or Meeting. A message about the new event will be automatically sent to the chat.

From the collab message. Select a message in the collab chat and click on dots - Create - Meeting.

In the Calendar section. Go to the Calendar section - Create. Select the desired collab in the event creation form.

Enter the event name, time, and location. Click Save and the event will appear in the calendar for all participants.

Employees and guests of the collab will see the meetings they are invited to. The event participants will receive a notification and the counter will appear in the calendar. All events created by guests are linked only to the collabs. Its events in the calendar are highlighted in green, making them distinguishable from regular events.


Configure access permissions

Specify who can create, view, and edit events in the collab calendar.

1. Go to the collab calendar and click Calendars.
2. Click on dots - Edit.
4. Select Access permissions.

Access can be configured for the collab owner, moderator, and all participants.

Allow the creator of the collab to configure access permissions to the collab calendar.

  1. Go to the collab where an employee invited you and click on Calendar.
  2. Open the Settings (⚙️).
  3. Open the Access permissions section and select the creator of the collab and grant Full Access.
  4. Save the changes.

Use open slots

Enable the Open Slots tool in the calendar collabs. This will help quickly coordinate meeting times with external users. For example, if you need to find a designer and hold a meeting with a candidate.

Add collab participants to the open slots and share the schedule with the contractor. The calendar takes into account the schedule of all employees and guests you have added. The contractor will choose the day and time for the meeting.

1. Go to the Messenger section.
2. Select Collabs in the top menu and open the desired one.
4. Click on the collab name.

Go to the Calendar and click Add (+).

Enter the event name, select the date and time. Specify the location and click Create Event. All members of the collab will be automatically added to the new meeting.

How a guest can work in the collaboration calendar

There are four ways to create an event:

In the Calendar section. Click Calendar - Create. The collaboration you are invited to will automatically appear in the Calendar field. If there are multiple collaborations, the last one you worked with will be displayed.

In the collaboration chat. Open the Messenger section. Click Collaborations and select the desired one. Click on the paperclip and select Meeting in the collaboration chat.

From the message. Select a message in the collab chat and click dots - Create - Meeting.

In the collab calendar. Go to the collab and click Calendar - Create.

Specify the event name, the location, and the time. Click Save and the event will appear in the calendar.

Red counters in the Calendar section of the left menu and in the collab chat show the number of events for which you have not accepted the invitation.

If you are the creator or a participant of an event, it can be downloaded in ics format. This format is needed to share events and open them in calendars of other services. The Add to Calendar option is only available for events where you have accepted an invitation.

1. Go to the Messenger section.
2. Open the Collabs tab and select the desired one.
3. Click on the collab name in the top menu.

Go to the collab Calendar and click Add (+).

Enter the event name, select the date and the time. Specify the location and click Create Event. All collab participants will be automatically added to the new meeting.

If you are a creator or a participant of the event, it can be downloaded in ics format. This format helps to share events and open them in calendars of other services. The Download ics file option is available only for events where you have accepted the invitation. The Add to Calendar option is only available for events where you have accepted an invitation.
