Configure access permissions for the transfer document

The document is used to monitor the movement of products between warehouses. It shows which products were transferred, in what quantity, and to which warehouse. Access permissions determine who can work with such documents: view, create, process, or delete them.

In this article:

Go to CRM > Settings > Inventory Access permissions.

You can configure five types of permissions for working with the document:
  • View — access to view documents only. The employee cannot edit, process, or delete documents. This is useful for monitoring product movement between warehouses.
  • Create and edit — the ability to create new documents and make changes to drafts. This is used when an employee processes transfers based on a manager's request or after an inventory check.
  • Process document — the ability to record product transfers between warehouses: deduct from the source warehouse and add to the destination warehouse. This permission is granted to employees responsible for product transfers and inventory management.
  • Cancel processing — allows canceling a processed document and restoring stock levels to their state before the transfer. This is granted to employees who correct accounting errors and oversee product transfers.
  • Delete document — allows deleting drafts and canceled documents. This is relevant for employees responsible for maintaining order in documents and removing unnecessary records.

Scenario: the manager records product transfers between warehouses. For example, a store manager is responsible for transfers: they record which products and in what quantity need to be transferred, specify the source and destination warehouses, and process the document.

To set up this workflow, follow these two steps:

  1. Create a separate role, such as "Online Store Manager", add employees to it.
  2. Enable the following permissions: View product catalog, View Inventory management area, View and select warehouses, and specify only the warehouses the employee needs access to. For working with the document, enable View, Create and edit, and Process inventory objects permissions. Leave the other permissions disabled. The employee will not be able to cancel processed documents or delete them.

After setting up, the employee will be able to process product transfers between warehouses.

Configured permissions apply only to warehouses the employee has access to. If the document includes multiple warehouses and the employee has access to only one, they will see the document and the list of products in it. However, information about warehouses they do not have access to and data on product quantities will be hidden.
