Recurring SPA items

Recurring SPA items help you manage repeat work. Bitrix24 creates new items automatically based on a schedule you define. For example, you can set up monthly inventory checks or quarterly maintenance tasks. This reduces manual work and helps you stay consistent.

Smart Process Automation is not available on all plans.

Only admins or users with permission to create and edit SPA items can configure recurrence. Permissions are set separately for each Smart Process Automation.

Enable recurrence in Smart Process Automation

To allow automatic item creation, enable recurrence in your Smart Process Automation. You can do this when creating or editing it.

We’ll use the CRM section as an example. The setup works the same way in automated solutions.
Create SPA for automated solutions

During creation

  1. Go to CRM > More > Smart Process Automation > Smart Process Automation.
  2. Click Create
  3. Choose a setup option: Essentials only, All options selected, or Empty SPA.
  4. Open the SPA form layout tab.
  5. In SPA fields, enable Recurring item.
  6. Click Save.

Create Smart Process Automation in CRM

During editing

  1. Go to CRM > More > Smart Process Automation.
  2. Select the required automation.
  3. Click Settings (⚙️) > SPA Settings > SPA form layout.
  4. Enable Recurring item.
  5. Save the changes.

Create a recurring SPA item

Open the Smart Process Automation and create or edit an item. In the form, fill in the Recurring item section.

If you don’t see this section, click Select field > Recurring item to add it.

Recurring item
Choose how often Bitrix24 should create new SPA items:

  • Specify interval — items are created on a schedule (for example, weekly or monthly).
  • Only once, with a time margin — one item is created on a specific date.

Repeat interval — set the frequency: daily, weekly, monthly, yearly, or a custom interval (for example, every 3 months).

Stop recurring item
Choose when to stop creating items:

  • Never — items continue indefinitely.
  • Specify date — items stop on a selected date.
  • Specify iteration count — items stop after a set number of repetitions.

Create first item on — set when the first SPA item will be created.

Use Wait before starting the created item if you need a delay. For example, if the item is created on December 5 with a 2-day delay, the Start date will be December 7.

Item duration (this will set the item end date) — set how much time is allowed to complete the item. The default is 7 days, but you can change it.

Pipeline — select where new SPA items will be created.

Click Save when finished.


Manage recurring item templates

Each recurring SPA item is saved as a template. Templates are grouped by Smart Process Automation and pipeline.

View templates

  1. Open the Smart Process Automation and select a pipeline.
  2. Go to Settings (⚙️) > Recurring item templates.
  3. To adjust columns, click Settings (⚙️) in the table.
  4. Select the fields you need and click Apply.

Search for a template

  1. Click Filter and search and enter a keyword (for example, the responsible person).
  2. Add filters to narrow results.
  3. Click Add field to include more filter options.
  4. Click Search.
  5. Clear filters using the × icon.

Manage templates

Click Menu (≡) next to a template to:

  • View
  • Edit
  • Copy — creates a new template with the same settings
  • Delete — stops future item creation (existing items remain)

You can also see items created from the template and the next scheduled creation date.

  • Recurring SPA items help you manage repeat work. Bitrix24 creates them automatically based on your schedule.
  • Smart Process Automation is not available on all plans. Only admins or users with the right permissions can set up recurring items. Permissions are configured separately for each automation.
  • To schedule automatic item creation, enable Recurring item in the Smart Process Automation during setup or editing. The process is the same in CRM and automated solutions.
  • To enable recurrence, go to CRM > More > Smart Process Automation, open the required automation, and click Settings (⚙️) > SPA settings > SPA form layout. Then enable Recurring item.
  • Open the Smart Process Automation and click Create. In the form, set the recurrence in the Recurring item section.
  • Each recurring SPA item is saved as a template.
  • To view templates, open the Smart Process Automation, select a pipeline, and go to Settings (⚙️) > Recurring item templates. Here you can view details, search, edit, copy, or delete templates.
