Approve element

Use this activity to start the approval process for an element. You can then set up different workflow paths depending on whether the element is approved or rejected.

The workflow pauses until the Approve element activity is completed.

Parameters

  • Approving voters: Select users who will review and approve the element.

  • Approval type: Choose how approval works:
    1. All Persons: Every selected user must approve. If one rejects, the workflow follows the Not approved path.

    2. Any Person: One approval is enough.

    3. Vote: Approval is based on voting.

      For this approval type, you can enable the Wait for responses from all participants option. If you set it to No, the activity completes automatically once the required percentage of votes is reached.
  • Assignment name: Enter a task name.

  • Assignment description: Add task details.

  • Set Status Message: Enable status tracking in the log.

  • Status Text: Enter the status shown in the log.

  • Accept button text and Reject button text: Customize the button text.

  • Show comment input field: Allow comments. You can get a comment text value from the Additional results section of the Insert Value form.

  • Comment is required: Make comments mandatory.

  • Comment input field label: Set the field name.

  • Time limit: Set a timeout. The task completes automatically when time expires.

  • Show assignment description only to responsible persons: Show the description only to assigned users. The assignment won’t appear in the Feed. Use this option to share sensitive information, such as passwords or PIN codes.

  • Delegate to: Specify who can receive delegated tasks.

    Administrators can always delegate assignments.

Read element

Use this activity to ask users to review an element and leave comments.

Parameters

  • Reviewers: Select users who need to review the element.

  • Assignment name: Enter a name for the task.

  • Assignment description: Add task details.

  • Require reading by: Choose whether all or any reviewer must complete the task.

  • Set Status Message: Enable to track progress in the workflow log.

  • Status Text: Enter the status shown in the log.

  • Assignment button label: Customize the button text.

  • Show comment input field: Allow comments. You can get a comment text value from the Additional results section of the Insert Value form.

  • Comment is required: Make comments mandatory.

  • Comment input field label: Set the field name.

  • Time limit: Set a deadline. The review ends automatically when time runs out.

  • Show assignment description only to responsible persons: Show the description only to assigned users. The assignment won't appear in the Feed. Use this option to share sensitive information, such as passwords or PIN codes.

  • Delegate to: Specify who can receive delegated tasks.

    Administrators can always delegate assignments.

Request for extra info (require response)

Use this activity to request required information from a user. The workflow continues only after someone provides it.

Parameters

  • Employees to provide additional information: Select users who can respond. If multiple users are selected, one response is enough.

  • Assignment name: Enter a task name.

  • Assignment description: Add task details.

  • Assignment button label: Customize the button text.

  • Show comment input field: Allow comments. You can get a comment text value from the Additional results section of the Insert Value form.

Request for extra info (can be declined)

This activity is similar to the required request, but users can decline the request.

Parameters

  • Employees to provide additional information: Select users who can respond. One response completes the task.

  • Assignment name: Enter a task name.

  • Assignment description: Add task details.

  • Assignment button label: Customize the button text.

  • Show comment input field: Allow comments. You can get a comment text value from the Additional results section of the Insert Value form.

  • Restrict access: Show the description only to assigned users.

  • Delegate to: Specify who can receive delegated tasks.

  • Administrators can always delegate assignments.
  • Can be declined by:

    1. All employees: Everyone must decline to stop the request.

    2. Any employee: One decline stops the request.

  • Text for "Decline" button in task: Customize the label.

  • Save values on failure: Keep entered data even if the user declines.

In the Fields section, define the information you want to collect. You can access the submitted data later in the Variables section of the Insert Value form.
