Send event invitation by email

The main calendar function is scheduling events. You can quickly organize company events as the planner shows each employee availability. To arrange meetings with customers and partners who are not users of your Bitrix24, use the Invite a guest option.

How to invite a guest by email

Go to Calendar and click on a date block to add an event. In the pop-up form, specify the event name and time. Click Change under Attendees and select users to take part in the event. Then, click the Invite a guest button.

Specify the guest's email, first name, and last name, then click Invite.

Note that the invitation won't be sent until you finish creating the event.

The guest appears in the attendee list in yellow. Select them from the list and press Enter.

Guests, also known as email users, aren't part of your internal or external user groups. They don't have access to your account, and you can't delete or deactivate them.

Enable the Notify of decision option to receive a notification when an attendee accepts or declines the invitation. Then, click Create.

When inviting a guest for the first time, choose an email address to send invitations or add a new email sender.

Click Continue, and the event will appear in your calendar.


FAQ

How can I ensure the guest received my invitation?

After creating an event in your calendar, the guest will receive an invitation by email.

Once they decide on the event participation, you'll get a notification.

Can I edit an event after sending an invitation?

You can edit your event's time, location, and list of attendees. The guest will be notified of updates via email.

Also, the guest will be notified if you delete the planned event.

Can the guest see the attachments?

The invitation contains all the information added to the event. If there is an attachment, the guest can download it. There is no need to send attachments separately.

How many invitations can I send?

The number of invitations is unlimited on the Professional and Enterprise plans.

To make it work properly, do the following:

  1. Configure the mail server.
  2. Specify the MX record of the Bitrix24 mail server mail-001.bitrix24.com for the account domain. Contact your domain administrator for assistance.
