Automated solutions: automate work of company departments

Smart Process Automation (SPA) allows you to configure any work scenario: create new CRM entities with custom fields, kanban stages, configure access permissions and add many other options.

Smart Process Automation can also be used to automate the work of any department, such as HR or accounting: you can create a single workspace, configure the settings and tools for them.

Smart Process Automation is available to the entire company in a separate section - Automated solutions.

Check if this option is available on your Bitrix24 plan.

How it works

Automated solutions are gathered in a separate section. They are not linked to CRM. A solution can consist of one or several processes. Each has its own form, funnels, kanban stages, automation rules, etc.

Go to the Automation section - Automated solutions tab.

You can create an automated solution for any department. Configure access permissions to the employees who work with the processes.

For example, the HR department can automate the processes of hiring, onboarding, training and firing employees.

Automated solutions can be linked with each other using automation rules. For example, the HR department can automatically create requests to the IT department.


Create an automated solution

There are three basic steps to follow:

  1. Create an SPA
  2. Configure the form in kanban
  3. Give access permissions

Create an SPA. Create an SPA in the Automation section and add it to the Automated solutions. An automated solution may consist of several processes.

Create SPA for automated solutions

Configure kanban form. Add fields to a SPA form. For example, you can create a candidate form for an HR department.

Create kanban stages for each SPA and move forms between them.

Configure Automated solutions

Give access permissions. Configure access permissions and give them only to the employees who work with SPA.

Access permissions to smart processes that are linked to the automated solutions should be configured in CRM access permissions.

In brief:

  • Automated solutions are a separate section for SPA, which can be used to automate the work of any department of a company. For example, create a workplace for the HR department and automate the processes of hiring, adapting, training and firing employees.

  • Automated solutions consist of SPA. Each process has its own form, funnels, kanban stages, automation rules, etc.

  • Employees will be able to access this section from the main menu, if they have permissions.
