How a first-party director signs an electronic document

The e-Signature tool is an electronic signature, not a digital one. Every country has its own laws and requirements for using electronic signatures. In some countries, a special agreement must be signed with the client to use an electronic signature. In addition, this method of signing is not allowed for all types of documents. Therefore, if you are not sure whether e-Signature is suitable for signing your document, consult with lawyers. Trust in these signatures is the responsibility of the individual accepting the document.

After an employee submits a document for signing, it goes to the specified sender. This might be your company director or another employee authorized to sign a document on behalf of your company. The document can be sent via email or SMS, depending on the chosen confirmation method.

If you send an electronic document via email and it doesn't arrive, check the Bulk and Spam folders of your mailbox.

Click Open document in the email.

Before signing, read the document carefully. You will see highlighted fields to add your stamp and signature. Click the Sign button.

Read and accept the Bitrix24 Sign Terms of Service. Enter the confirmation code you received by email or SMS.

The code expires in 5 minutes. If you get the Incorrect pin code error, try again with a new code.

Then complete all the required fields. For example, upload your company stamp.

Choose one of the following methods to add your signature:

  • Create from name: Specify your name and initials to generate a signature.
  • Hand sign: Use your mouse to write your signature or sign with your finger on a tablet or smartphone.
  • Upload image: Upload a signature image from your smartphone or take a photo of it.

Done! You have signed the document, and now it is sent to another party.
How the client signs an electronic document

After all parties sign, you will receive an email with a link to the final PDF file. Open or download the document.

Each document page has a gray stripe with the document ID, ensuring its integrity. A certificate of completion is automatically created and attached at the end of the signed document. The certificate includes a QR code to validate the document's integrity.

All signed documents are stored in the My vault section.
