Many companies frequently use corporate mail to transmit and store information. There are situations when you want another employee to use the dismissed user's email address. That applies mostly to generic email addresses, such as manager@mycompany.com
.
In Bitrix24, there are some features of using emails. You cannot sign up for Bitrix24 with an email address that is already used by another user registered in Bitrix24. Also, you cannot invite a new user by email when the specified email address is used by another Bitrix24 user, even if he/she is dismissed.
Suppose we have a dismissed user who used the business email manager@mycompany.com
, and we need one of the current employees to use this email.
First, we need to check if the email address is used as a contact email in the user's profile or the Bitrix24 login.
Bitrix24 administrator should open the dismissed user's profile and check the Passwords tab.
If there is another email address in the Email field in the Authentication section, that means that the business email is used only as a contact email in the user's profile.
If there is the same business email address in the Email field in the Authentication section, that means that it is used as the Bitrix24 login.
The business email is used as a contact email
In this case, you need to open the dismissed user's profile and change the email in the Contact email field to another one, for example, temp@somemail.tld
.
The business email is used as the Bitrix24 login
An employee who leaves a company needs to change the email in Bitrix24 Network profile from manager@mycompany.com
to another one, for example, temp@somemail.tld
. It is possible to do it before or after the employee is dismissed.
After that, Bitrix24 administrator needs to open the dismissed user's profile and change the email in the Contact email field.
