In Bitrix24, you can see results of completed workflows for future use. For example, a contract approval workflow might provide a document you can download and share with clients.
There are two ways to set workflow result:
-
Automatically: Sets the result of the last workflow activity. Only activities related to creating CRM items, tasks, or approving and reviewing elements are included.
-
Manually: Specify the result to display in workflow template settings.
Set workflow result automatically
To automatically set the workflow result, the system reviews all activities in the template. The result will be the last activity from this list:
- Create new contact: provides a link to contact form.
- Create new lead: provides a link to lead form.
- Create new company: provides a link to company form.
- Create new deal: provides a link to deal form.
- Create CRM item: provides a link to CRM item.
- Create SPA: provides a link to SPA item.
- Add list item: provides a link to list item.
- Create task: provides a link to task.
- New element: provides a link to created element.
- Read element: provides a document to view or download.
- Approve element: provides a document to view or download.
Set workflow result manually
Use the Set workflow result activity to specify the result to display, like a created CRM item or a leave approval letter.
Here's how:
- Open the workflow template and click the arrow above the End block.
- Select the Other section.
- Find and click the Set workflow result activity.
Go to the activity settings and specify parameters.
Workflow result: Choose what to display as the result: an item, field, file, or user.
User: The result will show a specific employee. For example, a business trip approval workflow may show the employee going on the trip.
Click the three dots (...) next to the User field and select the desired role, variable, or constant.
Item, field, or file: Select the result from the list.
-
Element fields: Choose the field value from the workflow form or CRM. For example, an order assembly workflow may show the Order Number field value.
-
Extra results: Select template activities. Only activities that create an item or element are included. For example, if there is the Create CRM item activity in the workflow, you can select the created item as the result.
Make result visible to:
-
Workflow creator: Only the employee who started the workflow, their supervisor and Bitrix24 administrators can see the result.
-
All workflow participants: Employees who participated in the workflow can see the result.
-
Other employees: Select users who will see the result.
View workflow result
The workflow result appears in the list of completed workflows and the CRM item form.
If the result is set automatically, employees with permission to access the created item or element will see it. For example, if the result is a created deal, employees with permission to view deals will see it.
If the result is selected using the Set workflow result activity, it will be visible to employees specified in the activity settings.
In the list of workflows:
- Go to Automation > Workflows > Workflows.
- Filter workflows with Completed status.
- View the result in the Status column.
If you don't see this column:
- Open list view settings (⚙️).
- Select the Status field.
- Click Apply.
In the CRM item form, workflow results are displayed in the timeline. Open the item form for which the workflow has completed to see the result.
