A workflow template is a pre-configured set of actions to quickly start a workflow. To use a template, fill out its parameters.
Access Permissions in CRM
- Go to the Automation section.
- Click Workflows.
- Select Workflows in CRM.
- Select CRM item to create a workflow template for. You can configure workflows for all CRM items and SPAs listed.
- Click Add Template to create a new workflow template. Select Templates to edit an existing one.
- Open the Template Parameters tab.
Specify basic information
On the General tab, complete the following fields:
Title: Enter the name to display in the list of templates.
Description: Specify the workflow's purpose to help employees choose the right workflow from the list.
Autorun: Choose how to start the workflow:
- When added: Starts automatically when a user creates a CRM item.
- When changed: Starts automatically when a user modifies a CRM item.
To start the workflow manually, disable the Autorun option.
Don't show in manual start menu: If disabled, the template is shown in the workflow list inside CRM items. If enabled, only the template creator and users with permission to edit CRM settings can view and use the template.
Sort weight: Specify the template's position on the list. Lower numbers appear higher.
Enable event logging for 7 days: Enable this option to log workflow events in workflow log. This helps test the workflow to ensure there are no errors.

Show workflow events in the timeline: CRM item form will display workflow events: new assignments, comments, results, etc.

Once you provide the basic details, click Save.
Add parameters, variables, and constants
Parameters: Data that can't be changed after a workflow starts. These values are defined by a user before running a workflow. For example, in the Estimate Approval workflow, this could be the client name or estimate validity period.
Variables: Temporary values that can be changed after a workflow starts. For example, in the Estimate Approval workflow, this could be the total amount or responsible sales person.
Constants: Fixed values that can't be changed after a workflow starts. This could be an interest rate, date, employee role, etc. For example, create the Chief Accountant constant and select an employee with this position.
On the Parameters, Variables, and Constants tabs, click Add and fill out the fields. They are the same on each tab.
ID: Assign a unique code or number to each parameter, variable, and constant. Enter a custom value or leave the default one. This prevents duplicates and makes it easy to find and change values.
Name and Description: Specify these for a parameter, variable, or constant. For example, ask an employee to specify the estimate validity period or client name.
Type: Select the needed value type from the list, like string, number, date, etc. Depending on the type, set additional parameters. For example, to create the Chief Accountant constant, select the Bind to user type and choose an employee.
Required: Users can't start the workflow if they don't specify a value.
Multiple: Users can specify multiple values.
Default Value: Set this manually or add it using the Insert Value form. The field will be filled in automatically, but users can edit it. For example, for the Money variable, enter the estimate amount in USD.

Configure display in sales pipelines
When setting up a workflow for deals or SPAs, choose which sales pipelines to display it in.
Check the desired sales pipelines from the list. By default, employees won't see this template in other pipelines.
