This article explains how to import data and what to check to avoid common errors.
- Go to CRM.
- Select the required section, for example, Deals.
- Click Settings (⚙️) and choose Import Deals.
How to import data
To complete the import, follow these steps:
1. Download the import file example. This is a CSV file, which includes all the fields from the CRM item form.
2. Fill out the import file. Enter the data you want to import into the template. In the ID column, number the deals sequentially (one deal = one number).
If a deal has multiple products, list each product in a separate row. Use the same deal ID for all these rows.
3. Upload the import file. Upload the completed file to Bitrix24. It must be in CSV format.
4. Check field mapping. Ensure fields in your import file match the corresponding fields in Bitrix24. For example, the Deal name field in your file should map to the Deal name field in the CRM item form.
5. Wait for the data to upload. The time required depends on the number of deals—larger imports take longer.
After the import is finished, check the deal list in CRM.
What to know before importing
To make sure your data imports into Bitrix24 CRM without issues, keep in mind the specifics of certain fields.
Messenger field
This field appears in the contact form. It stores a unique ID that Bitrix24 assigns to each client when they contact you through a messenger, like 100, 101, 102, etc.
Issue. If the Messenger ID in your import file matches an existing one in your Bitrix24 account, chats might get linked to incorrect contacts.
For example, in the account company1.bitrix24.com
, the contact named John has Messenger ID 101. In company2.bitrix24.com
, John doesn’t exist, but another contact already uses ID 100. If you export John from company1 and import him into company2, his Messenger ID (101) stays with him. Later, if a new client—Oliver—messages company2, Bitrix24 might assign him ID 101 too. As a result, Oliver’s messages could get linked to John by mistake.
Solution.
- Before importing, delete all messenger-related columns in your import file. These usually start with "imol".
- During the import, in the Duplicate control section, select Replace.
Close date
Issue. If you import closed deals, Bitrix24 may overwrite the original Close date with the current upload date.
Solution. To keep the original close dates, use a custom date field and set up automation to update the system Close date field.
-
In the CRM item form, create a custom date field with a unique name (for example, New date).
Custom fields in CRM -
In your import file, leave the Deal stage column empty for closed deals.
-
Import the original close dates into the custom field.
-
At the final stage of the deal, add the Modify item automation rule. Set it up to copy the date from your custom field to the Close date field.
Automation rules: Manage workflow items -
Move the imported deals to the stage where this automation rule runs.
