Company knowledge bases: Access permissions

By default, all your employees have full access to the company knowledge bases. You can adjust access permissions for all or specific knowledge bases of this type. Only administrators can configure these settings.

Check if your plan allows editing access permissions for company knowledge bases.

Step 1: Open access settings

  1. Go to the Employees section.
  2. Open the Knowledge base tab.
  3. Click Settings (⚙️).
  4. Select Access Permissions.

Step 2: Create a role

  1. Click Add in the roles block and name the role.
  2. Configure general access permissions, such as whether the knowledge base can be placed in different sections.

  3. Click Add knowledge base permissions and select a specific knowledge base.
  4. Customize permissions for the selected knowledge base.
  5. Save the role.

Step 3: Assign the role

Assign the added role to employees or departments.

Permissions set in the Knowledge base section take priority over individual knowledge base permissions. If an employee has full access to the section, they can see all knowledge bases, even if some are restricted.
