Approve element

The activity initiates the element approval process. Then you can configure activities for both cases, whether the element is approved or not.

The workflow is paused until the Approve element activity is completed.

See the description of the activity parameters below.

  • Approving voters: Select users who will approve the element.

  • Approval type: Decide how to approve the element:
    1. All Persons: The element needs to be approved by all users.

    2. Any Person: The element needs to be approved by any person.

    3. Vote: The element will be approved by voting.

    For this approval type, there is the Wait for responses from all participants option. If you choose no, the activity will be completed automatically once the necessary percentage of votes is reached.
  • Assignment name: Specify the name of the assignment that users will get.

  • Assignment description: Add extra information about the assignment.

  • Set Status Message: Enable this option to track the status of the assignment. You can check the current status in the workflow log.

  • Status Text: This status will be displayed in the workflow log.

  • Accept button text and Reject button text: Specify the text that will be displayed on the accept and reject buttons.

  • Show comment input field: Enable this option to let employees leave comments on the assignment. Upon execution of the activity, you can get a comment text value from the Additional results section of the Insert Value form.

  • Comment is required: Enable this option to make the comment field required.

  • Comment input field label: Specify the title of the comment field.

  • Time limit: Set the time limit. If an element is not approved or rejected before this period expires, it will be automatically rejected.

  • Show assignment description only to responsible persons: Enable this option to hide the assignment description from everyone excepting responsible persons. The assignment won't be shown in Feed in this case. This option comes in handy if you need to transmit secret information, like passwords, pin codes, etc.

  • Delegate to: Specify who the assignment can be delegated to.

    Administrators can delegate assignments, even if this is not allowed.

Read element

The activity lets users read the element and post comments.

See the description of the activity parameters below.

  • Reviewers: Add a list of users who need to review the element.

  • Assignment name: Specify the name of the assignment that users will get.

  • Assignment description: Add extra information about the assignment.

  • Require reading by: Specify if the element must be reviewed by all users or by any user.

  • Set Status Message: Enable this option to track the status of the assignment. You can check the current status in the workflow log.

  • Status Text: This status will be displayed in the workflow log.

  • Assignment button label: This text will be displayed on the assignment button.

  • Show comment input field: Enable this option to let employees leave comments on the assignment. Upon execution of the activity, you can get a comment text value from the Additional results section of the Insert Value form.

  • Comment is required: Enable this option to make the comment field required.

  • Comment input field label: Specify the title of the comment field.

  • Time limit: Set the time limit. The process of element examination will be terminated automatically when the period times out.

  • Show assignment description only to responsible persons: Enable this option to hide the assignment description from everyone excepting responsible persons. The assignment won't be shown in Feed in this case. This option comes in handy if you need to transmit secret information, like passwords, pin codes, etc.

  • Delegate to: Specify who the assignment can be delegated to.

    Administrators can delegate assignments, even if this is not allowed.

Request for extra info (require response)

This activity requests additional information from the user. This information is necessary to complete the workflow.

See the description of the activity parameters below.

  • Employees to provide additional information: These are users who need to provide additional information. If you add several employees to the list, the activity is completed when any of them provides the required information.

  • Assignment name: Specify the name of the assignment that users will get.

  • Assignment description: Add extra information about the assignment.

  • Assignment button label: Specify the sign that will be displayed on the assignment button.

  • Show comment input field: Enable this option to let employees leave comments on the assignment. Upon execution of the activity, you can get a comment text value from the Additional results section of the Insert Value form.

  • Comment input field label: Set the title of the comment field.

  • Wait for information for: The activity will be auto-completed after the specified timeout expires.

  • Show assignment description only to responsible persons: Enable this option to hide the assignment description from everyone excepting responsible persons. The assignment won't be shown in Feed in this case. This option comes in handy if you need to transmit secret information, like passwords, pin codes, etc.

  • Delegate to: Specify who the assignment can be delegated to.

    Administrators can delegate assignments, even if this is not allowed.

Finally, in the Fields section, specify what additional information you want to request from an employee. After the fields are completed, you can find these details in the Variables section of the Insert Value form.

Request for extra info (can be declined)

This activity requests additional information from a user. The main difference from the Request for extra info (require response) activity is that the request can be declined by the user.

  • Employees to provide additional information: These are users who need to provide additional information. If you add several employees to the list, the activity is completed when any of them provides the required information.

  • Assignment name: Specify the name of the assignment that users will get.

  • Assignment description: Add extra information about the assignment.

  • Assignment button label: Specify the sign that will be displayed on the assignment button.

  • Show comment input field: Enable this option to let employees leave comments on the assignment. Upon execution of the activity, you can get a comment text value from the Additional results section of the Insert Value form.

  • Restrict access: Enable this option to hide the assignment description from everyone excepting responsible persons.

  • Delegate to: Specify who the assignment can be delegated to.

  • Administrators can delegate assignments, even if this is not allowed.
  • Can be declined by:

    1. All employees: The request must be declined by all employees.

    2. Any employee: The activity stops requesting additional information if any employee declines the request.

  • Text for "Decline" button in task: Set the sign that will be displayed on the Decline button.

  • Save values on failure: If you enter data during the assignment but decline it, the parameter will save the latest values.

Finally, in the Fields section, specify what additional information you want to request from an employee. After the fields are completed, you can find these details in the Variables section of the Insert Value form.
