Role library: create new roles for CoPilot

CoPilot can serve as an expert in various areas. Bitrix24 offers over 30 roles, including sales manager, lawyer, marketing specialist, and poet. For example, as a lawyer, CoPilot can help with legal risks or regulations.

Bitrix24 now has the role library, allowing you to create custom roles for CoPilot and share them with colleagues. Add roles for different areas like architect, designer, career coach, editor, and more.

You can use the role library in all tools where CoPilot is available. Each employee can view their own roles and those shared by colleagues.

Add a role to the library

1. Open the role library. Go to any section where CoPilot is available, click CoPilot > Change role > Role library > Add.

2. Add a prompt for the role. Specify which role CoPilot should perform. Describe the goals and objectives, conditions and limitations, and set the response format.

You're a career coach. Your role is to help users looking for jobs or career growth.
Career Assessment: Offer advice for career growth based on user's experience and goals.
CV Preparation: Suggest ways to improve CV to fit job needs.
Interview Preparation: Create possible interview questions for specific jobs and guide on how to answer them.
Your response should include practical tips and recommendations.

3. Set up the role.

Name and icon: Specify the role name and upload an image as its icon. They'll be displayed in the list of roles.
Make available to: Select employees or departments who can access and use the role. By default, it's only available to the creator.
Description: Specify who and how can use this role. For example, I can help with job searches, career growth, CV tips, and interview prep.

After entering all the information, click Save. A new role will appear in the library, ready to be used by employees.

Select a role from the library

Go to any section where CoPilot is available and click CoPilot.
Select Change role and go to My roles.
Pick the desired role from the list.
Enter your query for this role.

Set up the role library

By default, employees can see all active roles in the library, including shared ones. However, they can customize the list to keep only the roles they need.

Add to Favorites. Open the role library and click the bookmark icon next to the desired role. It will appear in the Favorites section in the list of roles.

Don't show in My roles. If you are no longer using a role, you can disable the Show in My roles option. It will disappear from your list, but others can still access it.

Deactivate. If you and your colleagues no longer need a role, turn off the Active option. This hides the role for everyone, but you can reactivate it anytime. Deactivated roles can be found using a filter.

Edit a role in the library

Go to any section where there is a CoPilot, click CoPilot > Change role > Role library. Select the desired role and click Menu (≡) > Edit.

Any employee with access to the role can edit it, and all changes will be visible to everyone with access to this role.
