Automation rules for internal messaging

We've added four new automation rules for employee alerts. They help you create group chats, invite your colleagues and send automatic messages to them.

To find and use these automation rules,

  1. Go to the Automation section and expand the Automation rules and triggers tab.

  2. Then select the needed section from the dropdown list.

  3. Click on the robot icon to configure automation rules and triggers.

  4. Click the Create button to add an automation rule.

  5. Select the Employee alerts group on the left, where you will find our new automation rules for internal communication in chats.

There are some general parameters you can edit in each automation rule:

  • Execution: Specify whether the automation rule should run simultaneously with others or wait until they finish.

  • Time: Select when you want the automation rule to start by setting a pause or choosing the exact date and time.

  • Condition: Indicate a specific condition to be met for the automation rule to start.

Let's inspect the functionality that our new automation rules provide.


Create group chat

Use this automation rule to create a new group chat to discuss a deal or task with colleagues. You don't have to manually invite each team member. The automation rule will create a chat and automatically add all participants.

  • Chat name: Specify the name of a new group chat.

  • Members: Choose which employees you want to add to the group chat. Select at least two employees.


Add members to group chat

At a certain stage of the deal, you may need to involve other employees in it. For example, when a deal reaches the order packing stage, the automation rule will automatically add the users responsible for packing to the chat.

  • Select chat: Specify the ID of the chat created by the Create group chat automation rule. To do this, click the three dots button > Automation rules > Create group chat > Chat ID.

  • Add members: Choose which employees you want to add to the group chat.

  • Show history: Decide if you want to show the message history to the new chat members.


Send message to group chat

This automation rule helps you inform colleagues about changes and achievements. It can send a template message to the chat or notify all employees about a new deal. To send a message, just write a text and select the chat in the special field.

  • Select chat: Click on this field and select a group chat from the dropdown list. Or, you can specify the ID of the chat created by the Create group chat automation rule. To do this, click the three dots button > Automation rules > Create group chat > Chat ID.

  • Sender: Specify the user on whose behalf the message will be sent.

  • Message type: Select the type of message according to its importance.

  • Message text: Enter the text that will be included in your message.


Send message to direct chat

This automation rule serves as a reminder for important calls, deals and other tasks. For instance, if the deal amount exceeds one million dollars, the lawyer should review the contract. Set up the automation rule to send a reminder to your colleague automatically.

  • Sender: Specify the user on whose behalf the message will be sent. You can select a specific user or their role in the CRM entity or task.

  • Recipient: Select a user who will receive a message. Or you can specify their role in the CRM entity or task.

  • Message type: Select the type of message according to its importance.

  • Message text: Enter the text that will be included in your message.
